Tokyo Academics is the passion project of a constellation of teachers, researchers, and academics from around the world. Since 2012, we’ve evolved from a few university friends to a growing number of part-time and full-time individuals located in Tokyo, as well as working remotely. We are an organization of experts deeply passionate about helping students meet their potential and capture the opportunities of the future.
The Academics division of Tokyo Academics is responsible for hundreds of students each year. These students are supported by around 50 tutors across the globe.
This role will be remote and working during regular business hours of 10:00 am to 7:00 pm Japan time.

Objectives of the role:
Ensure the reliable operation of all teaching resources so that tutors in private lessons and group classes can teach smoothly
Support the administrative side of project and initiatives as determined by the management of the Academics division
What you will work on
Manage and maintain digital files and resources, including PDFs, for the Academics division
Collate and edit curriculum packs using PDF editing software – requires a moderately powerful PC with at least 16GB of RAM
Organize digital files according to grade, subject, and curriculum (e.g., math vs. English vs. sciences; AP vs. IB vs. A-Levels)
Ensure that digital resources are up-to-date, accurate, and functional for tutors
Coordinate with tutors, managers, and curriculum developers to understand their resource needs and address any issues
Assist in the development and implementation of new file organization systems as needed
Perform general administrative tasks as required, such as data entry, document preparation, and scheduling
Collaborate with other team members to support the smooth operation of the Academics division
Our ideal candidate
A minimum of 2 years of experience in an administrative or office support role
Strong organizational skills with the ability to manage multiple tasks and prioritize effectively
High proficiency in computer skills, including Microsoft Office Suite and file management systems
Familiarity with different educational curriculums (AP, IP, A-Levels) is a plus
Excellent communication skills in English, both written and verbal.
A proactive and problem-solving mindset.
Ability to maintain confidentiality and handle sensitive information with discretion.
