We are looking for an independent self-starter to assist with the management of the Admissions Consulting division of Tokyo Academics. This is an in-person role with regular business hours at our Nishi-Azabu office (10AM - 7PM Japan Standard Time, Sunday to Thursday). This is an exciting opportunity to join a fast-paced startup of 130+ team members around the world. You will play a significant role in helping the organization continue to grow by providing high level support to our College Admissions Consulting division.

What you will work on
Create and maintain accurate internal reports and documentation to ensure operational efficiency
Oversee and ensure the expansion and maintenance of written resources
Meet weekly with Operations, Sales, and Marketing teams to discuss the progress of various projects and to support with setting schedules for email marketing, content & website changes ensuring that deadlines are met
Update tracker sheets on a regular basis and be able to report on weekly KPIs, updates on the division, and results in management meetings
Record minutes during all divisional meetings
Assist college admissions consultants in building students' college lists, liaising with admissions offices, and responding to parent inquiries
Support in recruiting, onboarding and arranging initial training for new team members and managing internal documentation to guide recruitment decision making
Manage email inboxes to ensure CSM’s and Director’s client communications are responded to in a timely manner
Support with presenting division performance to the CEO weekly
Support the finance department with invoicing and billing queries
When other team members are on leave, provide continuity coverage by assuming special tasks
Support in preparing quarterly reports to present to executive team
Manage appointment calendars of one Director and two Senior Admissions Consultants
Identify opportunities for continual division improvement
Additional responsibilities and special projects as required
Our ideal candidate
Bachelor’s degree or higher
2+ years of relevant work experience
Long-term plans to live and work in the Tokyo area
High proficiency in English is required and Japanese proficiency is an advantage
Strong communication skills, thrives in a start-up environment
Able to respond to new information and processes quickly and decisively
Demonstrated ability to manage large-scale projects with clear deadlines
Thinks in terms of efficiency and automation
Team oriented, collaboratively minded
High proficiency with Microsoft and Internet applications (Google Sheets, Docs, etc)
Relentless drive to set and achieve ambitious goals
Growth mindset and ability to use feedback to improve practice
