Bilingual Administrative Assistant/Receptionist (Full-Time)

Tokyo Academics is the passion project of a constellation of teachers, researchers, and academics from around the world. Since 2012, we’ve evolved from a few university friends to a growing number of part-time and full-time individuals located in Tokyo, as well as working remotely. We are an organization of experts deeply passionate about helping students meet their potential and capture the opportunities of the future.

We are looking for an energetic, positive individual to help facilitate the office environment for students, parents, and tutors. You will be acting as the first point of contact for visitors of the office, ensuring that no details are overlooked and experience is first class. This role will be working onsite at our office in Nishiazabu, during our regular business hours of 10:00AM to 7:00 PM JST

​What you will work on

  • Daily calendar management
  • Email/phone coordination and scheduling for internal and external meetings 
  • Point of contact facilities maintenance including cleaning services, work orders, and building access
  • Office mail & package delivery signing and distribution
  • Office space organization & maintenance
  • Office supplies inventory and organization
  • Basic IT maintenance, such as maintenance of office printers and security equipment (cameras, smart locks, etc.)
  • Other tasks as requested by management

Our ideal candidate

  • Bilingual - Conversational/business level Japanese and fluent level English
  • Excellent communication skills and organizational skills
  • Aims for efficiency and automation
  • Previous office administration/receptionist experience
  • Basic technology proficiency
  • High proficiency with Microsoft and Internet applications (Google Sheets, Docs, etc)
  • Customer service background a plus

Work hours

  • 40 hours per week, in-person (Tokyo)
  • Flexible schedule, but must be available from Sunday - Thursday during regular business hours (10am - 7pm JST)
